About the Role
Catalina Gardens is seeking a highly organized, systems-oriented Operations Manager to help streamline and oversee daily operations for our luxury garden design and maintenance company.
This role is ideal for someone who thrives on structure, efficiency, and team coordination. You will work directly with the owners to manage scheduling, crew logistics, client workflow, and internal systems — allowing leadership to focus on business development and growth.
This is not an entry-level administrative role. We are looking for someone who can think strategically, improve processes, and help scale a growing company.
Operations & Scheduling
Oversee daily and weekly crew scheduling
Coordinate maintenance routes and installation timelines
Ensure labor hours align with project budgets
Adjust schedules proactively due to weather or delays
Manage job calendars and resource allocation
Team Coordination
Serve as point of contact between field crews and ownership
Track attendance, time sheets, and job completion
Support onboarding of new employees
Help enforce systems, standards, and accountability
Financial & Job Tracking
Monitor job profitability and labor efficiency
Track materials ordering and delivery timelines
Assist in reviewing project budgets vs. actual costs
Help identify operational inefficiencies
Systems & Process Improvement
Create and document SOPs (Standard Operating Procedures)
Improve workflow systems and communication channels
Maintain CRM and project management software
Identify bottlenecks and implement solutions
Client Support (as needed)
Handle operational client concerns
Support proposal timelines and production scheduling
Ensure high-level service standards are maintained
Requirements
Strong organizational and leadership skills
Ability to manage multiple moving parts simultaneously
Experience in operations, project management, or team coordination
Strong communication skills
Comfortable making decisions independently
High level of accountability and follow-through
