About the Role
Catalina Gardens is seeking a highly organized, professional Client Care Coordinator to serve as the first point of contact for our luxury garden design and maintenance clients.
This role is responsible for managing incoming inquiries, client communication, scheduling consultations, and supporting daily operations. The ideal candidate is detail-oriented, proactive, and comfortable communicating with high-end clientele.
This is not a call-center position, it is a relationship-focused role within a growing, design-driven company.
Key Responsibilities
Client Communication
-Answer incoming phone calls and respond to emails/text inquiries
-Serve as the primary first point of contact for new and existing clients
-Provide a polished, professional client experience
-Pre-qualify leads before scheduling consultations
-Follow up on proposals and pending estimates
Scheduling & Coordination
-Schedule client consultations and site visits
-Coordinate maintenance schedules with field crews
-Assist with routing and calendar management
-Confirm appointments and send reminders
Administrative Support
-Manage CRM system and client records
-Prepare and send proposals, invoices, and service agreements
-Track signed contracts and deposits
-Assist with billing and payment follow-ups
-Maintain organized digital files and documentation
Operations Support
-Communicate client requests to field team
-Order materials or coordinate vendor deliveries as needed
-Help track job progress and deadlines
-Identify workflow improvements
Requirements
